Privacy Policy

Subtitled ("the App") is committed to protecting your privacy. This Privacy Policy explains what information the App collects, how it is used, and which third-party services process it.

Data Collection

The App does not require account creation and does not ask for your name, email, or other directly identifying information. The App assigns each installation an anonymous device identifier used to measure product usage and manage subscriptions.

The following data is collected:

• Product analytics — anonymous events describing how you interact with the App (e.g. video picked, subtitles generated, paywall shown, export completed), along with device model, OS version, app version, language, and timezone.
• Session recordings — screen interactions within the App (taps, scrolls, navigation) for a sample of sessions, used to improve usability. Text you type (e.g. subtitle edits) is automatically masked and never recorded.
• Crash and error reports — technical diagnostic data about errors and crashes, including stack traces and recent in-app actions ("breadcrumbs"), to fix bugs.
• Subscription status — whether a Subtitled Pro subscription is active, managed via Apple's App Store.

This website

subtitles-app.com uses PostHog (EU region) to count page views and taps on the App Store buttons, so we can see which guides people find useful. It sets no cookies and stores nothing on your device; a visit is not linked to later visits or to the App. Like any web server, it receives your browser's user agent and approximate location from your IP address; the IP address itself is not stored by us.

Video Processing & Third-Party AI Transcription

On-device transcription (optional): on supported devices (iOS 26 and later) you can enable on-device transcription. In that mode your audio is transcribed entirely on your iPhone using Apple's on-device speech recognition and is never uploaded to our server or to any third party.

Otherwise, to generate subtitles, the App extracts the audio track from the video you select and uploads it to our server (api.subtitles-app.com). Our server forwards the audio to Groq, Inc., a third-party AI transcription provider, for speech-to-text processing. If Groq is unavailable, the same audio is sent instead to OpenAI, L.L.C., which performs the same transcription, so that a provider outage does not leave your video without captions. The App asks for your explicit permission and names these providers before this happens the first time you upload a video, and remembers your choice for subsequent uploads.

What is sent: only the audio track of the video you select. No account information, contacts, photos, or video frames are sent.

Who receives it: our server (api.subtitles-app.com) and Groq, Inc. (api.groq.com) — or, when Groq is unavailable, OpenAI, L.L.C. (api.openai.com) in its place. Both operate under contract with us, and your audio goes to one of them per video, never to both.

Retention: audio files are deleted from our server immediately after transcription. Groq — or OpenAI on the fallback path — processes audio only for the duration of the request, under contractual terms that prohibit using customer audio to train models and require privacy protections substantially equivalent to those in this policy (see Groq's privacy policy and OpenAI's privacy policy). We do not store or analyze the content of your videos, and the generated subtitles are returned to your device only.

Caption translation (optional): if you translate your captions, the App sends the caption text — not the audio or the video — to our server, which forwards it to OpenAI, L.L.C. for machine translation. The text is processed only for the duration of the request; OpenAI does not use data submitted through its API to train its models (see OpenAI's API data usage policy). Translated lines are returned to your device and are not stored on our server. Translation happens only when you ask for it — no captions leave your device otherwise.

Transcription Tools on This Website

The transcription tools on subtitles-app.com that transcribe speech (video to text, audio to text, video to SRT, podcast transcript) work the same way as the App's transcription. Your browser extracts the audio track from the file you choose and uploads only that audio to our server (api.subtitles-app.com); if the browser cannot read the file's audio, the file itself is uploaded instead. Our server sends the audio to Groq, Inc. — or, when Groq is unavailable, to OpenAI, L.L.C. — for speech-to-text, under the same terms described above.

The podcast transcript tool, which labels who is speaking, sends the audio to OpenAI, L.L.C. instead (speech-to-text with speaker labels), under the same terms. To keep each speaker's label consistent through a long recording, short excerpts of each voice from the start of the same recording are sent along with the later parts; they are deleted together with the rest of the upload.

The subtitle file utilities — SRT to text, the SRT ⇄ VTT converter and the subtitle shifter — work entirely in your browser. The file is never uploaded.

The subtitle translator reads the subtitle file in your browser and sends only its lines — the text and timings — to our server, which forwards the text to OpenAI, L.L.C. for machine translation, as with caption translation in the App. The translated lines are returned to your browser and kept in the server's memory for at most one hour; nothing is written to disk.

The upload is deleted from our server as soon as the transcript is ready. The transcript is kept in the server's memory for at most one hour so your browser can fetch it, and is never written to disk. To limit abuse, the server counts requests per IP address in memory; IP addresses are not logged or stored. No account is needed and no cookies are set.

To keep automated scripts from abusing the tool, the page uses Cloudflare Turnstile, a bot check that usually runs invisibly. Turnstile collects technical signals from your browser (such as browser and device characteristics) only to tell people from bots, and does not use them for advertising (see Cloudflare's Turnstile privacy addendum).

Device Permissions

The App may request the following permissions:

• Photo Library — to select videos from your camera roll and save processed videos.
• Camera — to record new videos directly within the app (optional).
• Microphone — used in conjunction with the camera for recording audio alongside video (optional).
• Speech Recognition — for optional on-device transcription (iOS 26+); in this mode your audio never leaves your device.

These permissions are only used for the features described above.

Third-Party Services

The App relies on the following third-party services to process the data described above. Each operates under its own privacy policy that provides protections substantially equivalent to those in this policy:

• Groq, Inc. — speech-to-text transcription of audio extracted from the video you select. Operates under contractual terms that prohibit training on customer audio and require privacy protections equivalent to those in this policy. Privacy policy.
• OpenAI, L.L.C. — machine translation of caption text when you use the translate feature, and speech-to-text transcription of audio on the fallback path described above, when Groq is unavailable. Data submitted through the API is not used to train OpenAI's models. Privacy policy.
• PostHog (EU region) — product analytics and session recordings in the App; page-view counts on this website. Privacy policy.
• Sentry — crash and error reporting. Privacy policy.
• RevenueCat — subscription and purchase management on top of Apple's In-App Purchase system. Privacy policy.
• Apple App Store — processes all payments, renewals, and refunds. Privacy policy.

The App does not display advertising and does not share your data with advertisers or data brokers.

Data Storage and Retention

Video and audio data is not stored on our servers — files are deleted immediately after subtitle generation. Groq — or OpenAI when Groq is unavailable — receives audio only for the duration of each transcription request and is contractually prohibited from training on customer audio. Caption text sent for translation is passed to OpenAI for the duration of that request only and is not stored on our server. Product analytics and session recordings are retained by PostHog according to their standard retention policy. Crash reports are retained by Sentry for diagnostic purposes. On your device, the App stores your language preference, AI consent status, subscription status, and session data locally.

Your Choices

Because no account is created, there is no personally identifying information tied to your use of the App. You can request deletion of the anonymous data associated with your device by contacting us at the email address below; include a description of the device and approximate usage window so we can locate the associated records.

Subscriptions & Payments

The App offers optional subscription plans ("Subtitled Pro") that provide access to premium features. All purchases and payments are processed entirely by Apple through the App Store. We do not collect, store, or have access to your payment information (credit card numbers, billing addresses, etc.).

Subscription management — including renewals, cancellations, and refunds — is handled through your Apple ID settings. For details, see Apple's subscription management guide.

Children's Privacy

The App does not knowingly collect personal information from children under the age of 13. Since the App does not collect any personal data, it is safe for users of all ages.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated revision date. We encourage you to review this page periodically.
